Job Objective:

You will, in coordination with the Hotel Procurement team, handle the company’s hotel supplier relationships, manage hotel and venue sourcing in line with policy, pharma code compliance, budget and client objectives (under the responsibility of the Sourcing Manager), as well as data management and consolidation. We are centralised in our HQ in Geneva but are a global company. We work daily with our team and our colleagues in remote locations, in different time zones… This position requires a lot of data management but will also need flexibility in the tasks & travel.

Main Responsibilities:

MCI GENEVA CORPORATE PROCUREMENT (50% of your day)
• Source hotels and venues for MCI corporate events
• Negotiate excellent contracts and leverage buying power of MCI to ensure client is receiving the best options at the most affordable costs, preferably at or below budget
• Create accurate, creative and efficient Excel recap and PPT presentations for clients
• Contribute to the revenue management strategy and implementation
• Contribute to competitive set analysis and market intelligence

REPORTING & DATA TRACKING (25% of your day)
• Project reporting to the Procurement Business Unit leader/Coordinator
• Support Manager and your own projects (based on progression) with Admin/Costs recap
• Assist HQ coordinator through local offices data collection
• Producing reports and statistics using computer software
• Be bold: anticipate new needs by finding ways to be more efficient / deliver higher quality

RELATIONSHIP MANAGEMENT (15% of your day)
• Manage and maintain excellent supplier relationships (internal and external)
• Tracking of supplier data
• Maintaining suppliers/offices database
• Occasional attendance at supplier presentations and networking events (mostly in Geneva)

OTHER TASKS (10% of your day)
• Monitor the MCI Supplier Platform Cvent
• Presentation and recommendation to client
• Staff training and day-to-day management of trainees
• Occasional attendance at hotel chain presentations and industry fairs

Reporting:
The Hotel Sourcing and Procurement Specialist will report to the Hotel Sourcing and Procurement Business Unit Coordinator and Manager.

Local Requirements:
Valid “Convention de stage” mandatory from school

Expected Training:
✓ 2-week onboarding in MCI Geneva office
✓ Additional training TBC

Job Requirements:
• Degree in Hotel or Event Management (other sectors are accepted with the right personality)
• Naturally organised and can cope under pressure – fast learner
• Ability to work autonomously while loving collaborating with a team
• Excel – Word – Outlook and PowerPoint are your friends as well as other software
• Work Hard – Play Hard attitude – sense of humour is an asset (especially to work with our team)
• Happy with highly administrative, mainly office-based job and used to heavy flows of information
• Potential travel (1x 2–3 day trip)

Technical Skills:
Knowledge of below tools are great assets but not mandatory:
✓ Cvent
✓ Canva (or other marketing tools)
✓ Harvest and/or Freshdesk Languages
✓ Excellent knowledge of English and French, both written and oral
✓ Mother tongue is an asset and having another language too
